Hotel software for small hotels and guesthouses: what you actually need

What a 5, 15 or 30 room property really needs from hotel software, what can wait, and the mistakes that make small hotels pay for systems nobody uses.

Small properties need software more, not less

A 200-room hotel has a reservations team, a night auditor and a revenue manager. A 12-room guesthouse has the owner, a receptionist who also serves breakfast, and a phone that rings during dinner. When something goes wrong at a small property, there is nobody spare to fix it.

That is the real case for software at a small hotel. Not more features, but fewer things that depend on one person remembering.

What you need, by size

Your propertyStart withAdd when it starts to hurt
Under 10 rooms, one or two channelsA calendar that prevents double bookings, simple guest bills, and a booking link for your own guestsA channel manager, once you sell on a second OTA
10 to 30 roomsThe above, plus a channel manager, housekeeping status and automatic confirmationsA restaurant POS that posts to rooms, if you serve dinner or outside guests
30 rooms or more, or a restaurantA full system: front desk, housekeeping, POS, reports and night auditRevenue tools and multi-outlet reporting

The essentials

  • One calendar. Every booking from every source on one screen, with clash checks.
  • A booking link. So enquiries from Instagram, WhatsApp and Google can book without an OTA.
  • Simple bills. Room, meals and extras on one bill, and a clear receipt.
  • Room status. Clean, dirty or occupied, visible to whoever is at the desk.
  • Automatic messages. A confirmation, directions before arrival and a thank-you after.
  • Access from a phone. Because the owner is rarely at the desk.

What can wait

  • Advanced revenue management, until you have enough booking history for it to learn from.
  • Detailed accounting inside the hotel system, if an accountant already keeps your books from an export.
  • A loyalty programme, until you have repeat guests to reward.

A good system includes these without forcing you to set them up on day one.

Mistakes small properties make

  • Buying three cheap tools that do not talk to each other, then spending the savings on staff time.
  • Choosing on the monthly price alone and discovering per-booking fees later.
  • Picking software that looks powerful but confuses the receptionist, so it only gets used for half the bookings.
  • Keeping the old diary running beside the new system, just in case, so neither is ever fully right.
  • Leaving the setup until the busy season.

What it is worth

The cost of hotel software is easy to see. The cost of not having it is spread across the month: one double booking that means paying for a guest's room at another property, a restaurant bill that never reached checkout, a cancelled room left unsold because nobody reopened it on the OTAs.

Add up one month of these at your own rates before deciding that software is too expensive.

How Orian fits a small property

Orian's Essential plan is designed for a single property of up to about 15 rooms: the reservations calendar, front desk, housekeeping board, a commission-free booking engine, a guest app and automated messages. The channel manager, restaurant POS and AI tools are on the same system for when you need them, so adding them later does not mean moving your data again. We load your rooms, rates and existing bookings and train your team before you go live, typically in about a week.

Common questions

Is hotel software worth it for a 5-room guesthouse?

If one person takes every booking and you sell on a single channel, a simple setup may be enough. Once bookings come from several places or more than one person handles them, a shared calendar usually pays for itself by preventing a single double booking.

Can I run a small hotel from my phone?

With a cloud system, yes for most daily tasks: checking arrivals, taking a booking, updating a room or answering a message. A tablet or laptop is still easier for setup and reports.

Do I need a channel manager for a guesthouse?

Once you sell on two or more OTAs, or take direct bookings that must close rooms online, it becomes the easiest way to avoid double bookings. With a single OTA it can wait.
