What it is

The front desk is judged on two things: how long the queue is and whether the bill is right. Orian shortens the queue by doing the paperwork before the guest arrives, a pre-arrival link or QR collects passport, address and a digital signature, and by offering a lobby kiosk for guests who would rather not talk to anyone. It gets the bill right by keeping one folio per stay that everything writes into: the room, the restaurant, the minibar, the spa, the add-ons. Then at the end of the day the night audit rolls the business date, snapshots occupancy, ADR and RevPAR, and processes no-shows without anybody staying late.

Checked in before the lobby

A pre-arrival link or room QR collects the statutory details and a digital signature. At the desk it is a verification and a key, not a form-filling exercise, and the registration card prints with the guest's own signature on it.

A kiosk that actually verifies

The lobby kiosk finds today's arrival by name or confirmation reference, releases personal details only after the guest confirms the last four digits of the phone on the booking, then issues the room number, floor, key-pickup note and a portal QR.

Folios that split cleanly

Open a second window so the company pays room and tax while the guest pays incidentals. Each window carries its own balance, its own routed company and its own settlement, and a window with money owing refuses to close.

In detail

Everything front desk does. Not a highlight reel.

1

Arrivals and departures

The desk's working day, in the order it happens.

  • One-tap check-in and check-outBooking status, room status and the folio all move together.
  • Digital pre-arrival registrationSent as a link or opened from a room QR, with passport, address, purpose of visit and vehicle.
  • Lobby self check-in kioskFullscreen tablet flow with identity verification, three attempts then a five-minute lock, and idle auto-reset.
  • Walk-ins in secondsCreate the guest, the booking and the folio in one pass.
  • Room moves and upgrades mid-stayChange the room without disturbing the agreed rate or the folio.
  • Incidentals pre-authorisationA hold is placed on the card on file at check-in, no money moves until you capture it.

Paperwork and compliance

The documents you are required to produce, produced.

  • Registration card PDFBooking, guest and pre-check-in data merged, with the captured signature image embedded.
  • Invoice PDFItemised, with net, service charge and VAT broken out, generated at checkout.

Closing the day and the shift

The handovers that usually happen on paper or in a group chat.

  • Automated night auditOne snapshot per business date: occupancy, ADR, RevPAR, revenue split and no-show processing.
  • No-show handlingThe room is released and the first night can be charged to the card on file.
  • AI shift handover briefVIPs in-house, arrivals to watch, unsettled folios, SLA breaches and low feedback, written up as a prioritised narrative.
  • Running duty logItems logged during a shift, with anything unresolved carried into the next brief.
  • Live ops boardEvery open guest request, unfulfilled service and open room-service order on one auto-refreshing screen.
  • Live room rackOccupancy and cleanliness tracked on separate axes, so a room is only sellable when it is both vacant and clean.
How it runs

A day with it, in four moves.

1

Before arrival

The confirmation carries a pre-check-in link and a portal PIN. The guest fills in the statutory details and signs on their own phone, at their own pace.

2

At arrival

The desk pulls up today's list, verifies, assigns the key and checks in, or the guest does it themselves at the kiosk and walks away with a room number and a portal QR.

3

During the stay

Everything the guest spends writes to their folio: the restaurant, the minibar, the spa, an upgrade, a late checkout. The desk sees a live balance, never a reconstruction.

4

At departure

Check out, settle or split the bill, and the invoice is generated. Housekeeping gets the turnover automatically and loyalty points are awarded.

Before you ask

Front desk, answered.

Does the self check-in kiosk let anyone see a guest's details?

No. The search step returns masked names and a phone hint only, within a one-day arrival window. Personal details are released only after the guest confirms the last four digits of the phone number on the booking, and three failed attempts lock that booking for five minutes. The same check runs again on the server when the check-in is committed.

Can a company pay for the room while the guest pays their own extras?

Yes, that is what folio windows are for. Window one is the guest folio; open a second window, route the room and tax to it and point it at the company. Each window has its own balance and settles independently, and a window that still owes money cannot be closed.

What does the night audit actually do?

It writes one snapshot per business date, occupancy, ADR, RevPAR and the revenue split, processes no-shows by releasing the room and charging the first night to the card on file where there is one, and rolls the business date forward. It is one action, and it is safe to run once per day.

Do we still need paper registration cards?

Only if your regulator insists on paper. Orian generates the registration card as a PDF with the guest's captured digital signature embedded, and keeps the statutory guest register with a police-report CSV and a printable official layout, so the record exists either way.
